Map the real residential circulation
Mark pedestrian doors, vehicle gates, elevators, stairs, mail and package areas, parking levels, amenities, management space and service entrances. Record which routes are resident-only and which admit guests or vendors.

Some apartment access patterns therefore come from former office or commercial layouts. Use the building plan rather than assuming one front door and one lobby.
Keep resident identity and guest policy separate
State what proves residency, how household updates are supplied and what the guard does when a card or list is outdated. Write the guest authorization process, delivery rules and after-hours management contact. Avoid asking the guard to make lease decisions at the desk.
For vendors and maintenance, record approved hours, work-order or management confirmation and controlled access to nonpublic rooms.
Define package and key limits
If the post receives packages, specify accepted carriers, storage location, oversized or perishable items, resident notification and unclaimed items. If it controls keys or access devices, use a signed issue and return record.
Do not put valuables, rent payments or personal documents into the guard process without an approved property policy and secure handling method.
Plan parking and common-area patrol
Show the route, expected frequency and areas visible from each checkpoint. State whether the guard observes, enforces a property rule, contacts towing under management authorization or only reports. Define what happens at the lobby while the guard is away.
Separate noise, maintenance, lease, welfare and emergency calls. The guard needs a clear escalation chart, not a general instruction to “handle residents.”
Set privacy and report controls
Identify the minimum resident or visitor information needed for the post. Limit who receives logs and camera-related notes. A report should describe an observable event, action and notification without unnecessary personal commentary.
Ask the provider how reports are transmitted, stored and corrected. Confirm that its process fits the property manager’s privacy and retention policy.
Verify the provider and orient the assigned guard
Check the proposal entity in the DCA PPO record and request its current insurance certificate. Ask how each guard registration is checked and how the person is trained on resident interaction, protected information, building systems and post boundaries.
California’s training requirement does not replace a building orientation. Require signed acknowledgment of the current post orders and management contacts.
